Job Vacancy: Receptionist – Youth Counselling Service

Jupiter is the name of the youth mental health counselling service operated by Caring for Our Port Stephens Youth (COPSY Inc.) out of the Salamander Bay Library and Community Complex. It started operations in March 2019 with three registered psychologists and two counsellors. It is now looking for a part-time receptionist.

Role Description

Responsibilities;

  • Meet and greet young people and their families

  • Liaise with library/PSC concerning rooms used

  • Manage digital systems (healthkit)
  • Answer the phone and follow up online enquiries

  • Open and close as per set procedure

  • Schedule of appointments

  • Processing medicare bulk billing

  • Assist psychologists by making phone calls, faxing and photocopying

  • Scan patient’s correspondence

  • Provide monthly reports to the board with attendance data (healthkit).
  • Ensure standards are met and jupiter complies with regulations
  • Quality assurance and policies

  • Advise Treasurer of (a) hours worked by paid employees for payroll purposes and (b) confirm hours worked by the psychologists providing their monthly invoices for cross checking and payment.

This is a casual position; weekdays 3-7pm. The position is guaranteed for a minimum of 10 hours per week but is likely to increase in the near future.

ESSENTIAL CRITERIA:

  • Ability to create a welcoming space for young people and their families

  • Demonstrated experience managing sensitive and confidential information

  • Basic computer skills

  • Experience in managing client notes, files and correspondence

  • Working with Children’s Check.

DESIRABLE CRITERIA:

  • The ability to work flexibly and as needed

  • First Aid and Mental First Aid proficiency

  • LGBTIQ inclusivity training.

SALARY:

The rate of pay will depend on how the credentials above are satisfied and will be paid by COPSY Inc.
